A Practical Guide for Members of the Association québécoise des thérapeutes naturels (AQTN) 

Managing professional addresses may seem simple, but for therapists and insurers, it can quickly become a source of confusion.

At AQTN, we regularly receive questions from members and clients about address mismatches, missing information, and issues with insurance claims.

This article clarifies how addresses are managed, why inconsistencies happen, and what steps you can take to resolve these issues smoothly.

 

🔑 1. What Address Information Is Shared With Insurers?

One of the most important points to understand:

AQTN does not share mailing lists or personal addresses directly with insurers. When members log into the portal, they can add or modify professional work addresses that will be shared with participating insurers. However:

  • These addresses are not the same as your mailing address (but one of them can be if you work from home).
  • Your mailing address (from your membership form) is used only for AQTN communications such as receipts and other official association documents.
  • On lists sent to insurance companies, usually only postal codes are shared — not full street addresses — mainly to help detect potential fraud and to keep processing times to a minimum.

👉 Street names and cities are not transmitted by default.

📍 2. Managing Work Addresses in the Member Portal

Inside the AQTN member portal (administrative menu), you can:

  • Edit your professional contact information
  • Add multiple work locations to be shared with participating insurance companies
  • Choose which addresses you want insurers to display in their platforms
  • Remove addresses you don’t want to be shared publicly (example if you change employers)

This feature exists because over the last decade, more and more insurance companies have been offering online directories, giving our therapists increased visibility — but only if they want it. Not everyone wants public visibility. 

Many therapists (e.g., working in spas or those with an established clientele or who have a full part-time schedule) prefer not to have their work address displayed anywhere. AQTN respects that choice.


 

🧾 3. How Insurers Handle Addresses on Receipts

Some insurers have, in the past, automatically manually entered addresses written on insurance receipts, which can create issues — especially when:

  • a therapist moves
  • has multiple workplaces, or
  • does home visits.

Important!

If you check “home massage” on the massage therapy receipt, insurers are not supposed to enter the address. However, mistakes do happen. Insurers may enter and find themselves with:

  • outdated therapist addresses
  • incorrect information (typos)
  • client home addresses instead of therapist work addresses

👉 Because insurers manage tens of thousands of providers, they often don’t have systems to keep everything perfectly updated.

🟦 4. Special Case: Médavie Blue Cross

Blue Cross handles things differently. Members can register directly on the Médavie Blue Cross platform. After each therapeutic session:

  • 1. Enter the client’s certificate number.
  • 2. Enter the service amount.
  • 3. The app calculates what the client pays (ex: 20% of 100$ = 20$).
  • 4. The insurer deposits the remaining amount (ex: 80% of 100$, 80$) at month-end.

There are no receipts in this model. Addresses are entered by the therapist, not by AQTN. It is worth noting that Blue Cross also has direct billing, traditional claims processing (where the client send a claim form with the receipt by mail) and they have an online portal. 🏥 5. When Insurers Can’t Find Your Name or Address

This is one of the most common issues members face. The cause may be:

  • An outdated insurer database
  • A typo (example: accent errors)
  • Searching by address instead of by name
  • Your name previously existed but was overwritten
  • A completely incorrect entry (wrong therapist, wrong province)
  • A different person with the same name

What to do first

  • 1. Identify the insurance company involved.
  • 2. AQTN can provide a support letter to help the client process the claim.
  • 3. AQTN does not contact the insurer directly on behalf of clients due to legal issues regarding confidentiality.

📑 6. Claims: How They Work Today

(A) Online claims without receipts

Many insurers now use online systems that don’t require receipts initially. However, they may later request.

  • a copy of the receipt,
  • address verification,
  • additional identity confirmation.

(B) Traditional claims by mail Still are still accepted by all insurers 

Mail-in claims are processed even if:

  • your name doesn’t appear on a list,
  • the insurer is missing your address,
  • the client cannot find the member on the insurer portal .

 

📬 7. Evidence of Benefits (EOB) Statements: The Key to Solving Issues

Whenever a claim is submitted, the insurer generates an EOB (evidence of benefits). This document shows::

  • whether the claim was accepted or refused,
  • at what percentage,
  • and why (message codes) – which can somtimes be a typo (e.g. code 00 versus 01).

It is one of the easiest and fastest ways to confirm:

  • whether the insurer made an error,
  • whether AQTN needs to update something,
  • or whether additional steps are required.

🛠️ 8. Practical Tips to Avoid Address Problems

  • Keep your work addresses updated in the AQTN member portal.
  • Avoid listing addresses unless necessary.
  • Verify how receipts display your work location.
  • Ask clients to request the exact reason for claim rejection (or guide them to this blog post).
  • Identify the insurer before contacting AQTN when possible.
  • Encourage clients to contact insurer customer service if portal buttons or searches fail.
